About the PSDP Templates ============================================================ The PSDP Templates include all of the templates used within PSDP to document and manage your software development project using either Word or another word processor. PDF versions of all templates is also provided so you can create versions for other word processors easier. 1.1. About the Microsoft Word Templates (.dot) ------------------------------------------------------------ For use with Microsoft Word 95 and above. This version was tested on Microsoft Word 2000 so you may have to make minor formatting changes for use with other versions. Refer to the WORKING WITH MICROSOFT WORD TEMPLATES below for more information. 1.2 About the Microsoft Word Documents (.doc) ------------------------------------------------------------ The Word documents are included for those Word users who prefer to open the templates as Word files (rather than using File | New). These files are the same as the Word templates (.doc) but with a .doc extension. 1.3 About the PDF Templates (.pdf) ------------------------------------------------------------ The PDF versions are included for printing and for those users who need to convert the templates to another word processor and wish to preserve formatting as close as possible to the Word versions. The PDFs were created from the Word templates. 2. REQUIREMENTS ============================================================ The PSDP Templates require a word processor capable of using or importing either Microsoft Word documents. The Adobe Acrobat PDF files are included as an alternative to importing (you can recreate manually all of the templates using Adobe Acrobat to read the PDF versions of the templates). 3. INSTALLATION NOTES ============================================================ 3.1 Microsoft Word Templates ------------------------------------------------------------ Refer to the WORKING WITH MICROSOFT WORD TEMPLATES section below. 3.2 Microsoft Word Documents ------------------------------------------------------------ With Microsoft Word: 1. Open the desired template (the default installation folder is C:\Program Files\Prestwood\PSDPTemplates\WordDoc). 2. Select File | Save As to copy and rename the document. 3. Fill in the document. 3.3 Adobe Acrobat PDF ------------------------------------------------------------ The default installation folder is: C:\Program Files\Prestwood\PSDPTemplates\PDF 4. INSTALLED FILES ============================================================ readme.txt - This file. \WordDot\*.dot - Word Templates \WordDoc\*.doc - Word documents \PDF\*.pdf - Adobe Acrobat format. 5. MODIFYING THE PSDP TEMPLATES ============================================================ 5.1 Copy and Rename existing template ------------------------------------------------------------ In order to avoid overwriting your changes with future release of the PSDP Templates, we strongly suggest you make a copy of the template and rename it. For example, copy then rename the following file from: \PSDPTemplates\1-Project Proposal Fixed.dot to: \PSDPTemplates\1-Project Proposal Fixed (PS).dot Where PS is the name of your company. In this case, PS stands for Prestwood IT Solutions and is our internal version of the template with our company profile added. 5.2 To modify a MS Word Template ------------------------------------------------------------ Using Microsoft Word, select Open, and then locate and open the template you want to modify. If there aren't any templates listed in the Open dialog box, click Document Templates in the Files of type box. Change the template as desired. Click Save or Save As. Note ---- The content of existing documents is not affected by changes you make to the templates they're based on. Word will update modified styles when you open an existing document only if the Automatically update document styles option is turned on. Set this option before you open an existing document by clicking Templates and Add-Ins on the Tools menu. 6. PSDP PROPOSAL FORM (REPORT DEFECTS AND SUGGEST CHANGES) ============================================================ Use this form to effect changes to PSDP. You're input is very valuable to us. All proposals and comments are reviewed monthly. PROPOSAL FORM - http://prestwood.com/standards/psdp/proposal.html 7. CHANGE HISTORY ============================================================ 7.1 Release 3.02 Changes / Additions ------------------------------------------------------------ - New Use Case template (for documenting a single use case). - New Requirements Specification (UML) template (use case driven template). - Updated current traditional requirements template. This template also has a new name "(trad)" was appended to the filename. 7.2 Release 3.01 Changes / Additions ------------------------------------------------------------ - New smaller PSDP logo. - Added .DOC versions of templates. - First version using a full install/uninstall application. - Minor formatting changes in most templates. 8. WORKING WITH MICROSOFT WORD TEMPLATES ============================================================ 8.1 About MS Word Templates ------------------------------------------------------------ Every Microsoft Word document is based on a template. A template determines the basic structure for a document and contains document settings such as AutoText entries, fonts, key assignments, etc. The two basic types of templates are global templates and document templates. Global templates, including the Normal template, contain settings that are available to all documents. Document templates, such as the PSDP templates, contain settings that are available only to documents based on that template. For example, if you create a document using one of the PSDP templates, that document can use the settings from both the PSDP template as well as the settings in any global template. 8.2 Locating Your Installed Templates ------------------------------------------------------------ When you or someone in your workgroup clicks New on the File menu, two factors determine which document templates are available and which tab each template appears on: the location of the template and your file location settings for User templates and Workgroup templates. To check your template file location settings, click Options on the Tools menu, and then click the File Locations tab. Workgroup templates ------------------- It is recommended that your system administrator store templates that you share on a network in the Workgroup templates file location specified on the File Locations tab. To keep custom templates from being inadvertently altered by others, the administrator should mark them as read-only or store them on a server with limited permissions. User templates -------------- Save your custom templates in the Templates folder. (In Microsoft Windows 95 or 98, the Templates folder is located by default in either of the following two folders: C:\Windows_folder\Application Data\Microsoft C:\Windows_folder\Profiles\User_name\Application Data\Microsoft In Microsoft Windows the Templates folder is located by default in the C:\Windows_folder\Profiles\User_name folder.) Template files that you save in the Templates folder appear in the New dialog box (File menu). Any document (.doc) file that you save in the Templates folder also acts as a template. 8.3 Installing the PSDP MS Word Templates into Word ------------------------------------------------------------ Install the PSDP MS Word Templates in a sub-folder named PSDP in either the workgroup or user templates folder. (See Locating Your Installed Templates above.) The name (usually PSDP) you give the subfolder will appear on the new tab. When you're saving a template, Word switches to the User templates location (Tools menu, Options command, File Locations tab), which by default is the Templates folder and its subfolders.
